JOB DESCRIPTION: Practice Coordinator (Part-Time)

ABOUT US

Turner Business Solutions (TBS) is a growing CPA firm based in St. Louis, serving for-profit, nonprofit, and government clients. We’re a close-knit team of 4 professionals who value quality work, clear communication, and using technology to work smarter. We’re looking for a Practice Coordinator to help us operate more efficiently as we grow.


POSITION OVERVIEW

  • Reports To: CEO/Principal
  • Hours: 20 hours per week (Monday–Friday, 4 consecutive hours per day required)
  • Start Date: Mid-February 2026

This role is not a management position. You will not supervise staff but will own and coordinate the firm’s administrative function, supporting smooth operations across scheduling, billing, communication, client onboarding, and file management. Your work helps the team stay on track and allows the CEO and accountants to focus on technical work and client relationships.


WHAT YOU’LL DO

Client Communication & Coordination (20%)

  • Monitor and respond to client emails (within 4 business hours)
  • Answer common questions professionally (some with the use of templates)
  • Schedule client meetings and send follow-ups
  • Onboard new clients: send engagement letters, collect documents, and set up digital files
  • Send deadline reminders and proactive check-ins
  • Be a professional and friendly point of contact


Workflow & Task Management (30%)

  • Track internal tasks using practice management software
  • Run weekly status reports and flag overdue items
  • Coordinate timelines and task handoffs
  • Keep the CEO informed of any project risks
  • Ensure all deliverables stay on track


Billing & Collections (20%)

  • Send invoices to clients
  • Track accounts receivable and overdue payments
  • Follow up on outstanding balances
  • Record payments and update billing reports


Administrative & File Management (20%)

  • Maintain an organized digital filing system (Google Drive + practice management software)
  • Digitally file client documents (payroll reports, financials, receipts, tax returns, etc.)
  • Prepare internal and client-ready documents
  • Order supplies and support day-to-day office needs


Business Development Support (10%)

  • Track leads, proposals, and follow-up status
  • Schedule prospect meetings for the CEO
  • Coordinate the new client intake process
  • Support occasional marketing efforts


WHO YOU ARE

Required

  • 2+ years of experience in admin, coordination, or client service
  • Excellent written and verbal communication
  • Strong organizational skills and attention to detail
  • Comfortable using or learning digital tools
  • Self-starter who follows through
  • Available for weekly team meetings
  • Can work Monday–Friday, four consecutive hours per day


Preferred

  • Experience in accounting, legal, or professional services
  • Familiar with QuickBooks Online and/or practice management tools
  • Experience with client onboarding or billing
  • Associate’s or bachelor’s degree
  • Basic understanding of tax or audit work is a plus (we’ll train you)

WORK SCHEDULE & ENVIRONMENT

  • 20 hours/week
  • Monday–Friday, with 4 consecutive hours per day
  • Weekly team meeting required
  • On-site preferred; hybrid considered after onboarding (approx. 3 months)
  • Extra hours may be needed during tax season or onboarding cycles

COMPENSATION & GROWTH

  • $18 - $22 depending on experience
  • Pro-rated holiday pay after 90 days
  • Annual performance reviews with potential raises
  • Opportunity to increase hours (25–30 hrs or full-time possible within 12–24 months)

Note: This part-time position does not include health benefits, vacation pay or sick pay at this time.
